| | Officers' Duties:
The first five PTA Officers, that are President, Vice President of Programs, Vice President of
Membership, Treasurer, and Secretary, are elected each year by the CCE PTA members at the General Meeting held in the month of April. The formal description of the duties of each officer can be found in the CCE PTA Bylaws, that are published at
this page.
In the following, you can find a more hands-on, practical description of each Executive Board position, complete with estimates of time, deadlines, and requirements.
This short guide is provided so that
perspective candidates can feel comfortable knowing the details, the requirements, and the size of the position for which they may want to run.
- President: The time commitment is no less than 10 hours a week. This includes emails, phone messages, and approval process for articles, flyers,
handouts. Even over summer this officer spends many hours organizing the Back to School Fling, the President's summer letter, and
resolving committee issues from the prior year as well as getting a head start on the new school year. As a
manager, the President must be available to help out on all committees. The candidate for this position must have extensive CCE PTA
Executive Committee experience.
- Vice President of Programs: This job is not very specific. Typically, the Vice President of Programs aids the President in her absence and sets up programs or speakers on topics parents may find useful.
For example Movie Night was set up in the past with the idea
of families spending time together and building our school community spirit.
The possibilities are endless, it really is a position where someone can
let their imagination flow, and fill whatever need they feel is missing from
our school environment. All projects are subject to Board's approval.
- Vice President of Membership: This position requires concentrated efforts of time rather than a consistent weekly amount of time. There are several deadlines associated with the membership job. Here is a list the deadlines and the estimated number of hours spent to meet them. Most parents sign up for membership at the Back to School Fling in August.
- Sept. 10 filing - This is the early bird filing and is probably the most labor intensive time because you are preparing the membership roster, membership cards, distributing the cards, sending notes to parents inviting them to join (approximately 30 hours).
- October 15 - This filing is an important one too because it is the basis for many of membership awards our PTA can receive. The time commitment is about 10 hours.
- March 15 - this is the final membership filing for the year, approximately 2 hours.
- There are 5 Board meetings during the school year that last approximately 2 hours, and the same number of PTA general meetings. The Vice President of Membership needs to be present also at the Back to School Fling in August - 3 hours.
- Secretary: The Secretary compiles the minutes from each of 5 Board meetings and 5 general
meetings per year.
The Secretary also compiles the roster of PTA positions. She keeps copies of all CCE PTA records and documents, such as contracts, Treasurer's reports, approved budgets. A good estimate is 90 hours per year.
As a Board member, it is advisable to play a role in any PTA event, for example
the Back to School Fling (5 hours), Family Fun Fest (15+hours),....
Overall, the effort is spaced-out well and can be done at one's
own schedule (except the set meeting times).
- Treasurer: The Treasurer position takes anywhere from 1 hour per week to 25 hours per
week during the peak periods. Treasurer is requested to deposit money and
issue checks within a 3 - 5 day period. The other duties are monthly bank
reconciliations, prepare budget and Treasurer reports for the Board meetings
and the General meetings, prep sales tax reports, and file an annual tax
return. During the summer, the Treasurer requests from every Board member,
teacher, and any other parent with a plan, their POWs (Plan of Work) they
wish to submit for the upcoming year which may raise or require funds or may
cost nothing at all. Every activity must be approved by the PTA Board.
The Treasurer pulls the POWs together to prepare the first budget which is then
reviewed at each meeting.

| Chairs' Duties:
After the five officers are elected during the April General Meeting, all the PTA Committee Chairs are appointed by the new President. The new President appoints also the Historian and Parliamentarian.
All the President's nominations are subject to the approval of the Executive Board.
Once approved, the Committee Chairs become voting members of the Executive Board, together with the five elected officers.
The Committee Chairs coordinate the work of the volunteers in each committee. A detailed description of the volunteer positions, complete with
reasonable estimates of the time commitment required for each project, can be found in this document.
This Portfolio has the purpose to provide up-to-date information and to indicate clear boundaries for the volunteer jobs so that parents can feel comfortable knowing the details and the size of the job for which they are volunteering. |
